How do I use action templates?

Required Permissions:

  • Assign Actions via Menu (actions.assign) — to apply templates when creating actions from the menu

  • Facilitate 1-to-1s (one-to-ones.facilitate) — to apply templates when creating actions inside a 1-to-1 meeting

What Action Templates Do

Action templates are pre-configured action descriptions saved by your administrator. They give you a starting point for actions you assign often, so you don't have to retype the same wording or paste the same resource link every time.

A template can include:

  • A standard action description

  • A URL to a resource (for example, an eLearning lesson or policy document)

  • A suggested action type

You can apply a template, then change anything on the action before you save it. Edits don't affect the master template.

Applying a Template When Creating an Action

You can apply templates from either of the create-action paths.

Option 1: From the +Create menu

Step 1 — Go to + Create > click New action.

Step 2 — In the create action form, open the Action template dropdown and select a template. The description, URL and suggested action type fill in automatically.

Step 3 — Choose the assignee or assignees, set a due date and adjust the description if you want to personalise it for the individual.

Step 4 — Click Create action (or Create actions for a bulk assignment).

Option 2: From inside a 1-to-1 meeting

Step 1 — Open the meeting and click Actions in the agenda menu.

Step 2 — Start a new action. Open the Action template dropdown and choose a template.

Step 3 — Edit the description if needed, then click Create action.

Customising a Template

Once you've applied a template, every field is editable. You can:

  • Edit the description (add the agent's name, reference a recent contact, narrow the scope)

  • Change or add a URL

  • Pick a different action type

  • Adjust the due date for the individual

The original template stays as is — your edits only affect the action you're creating.

Tips

  • Templates work alongside bulk action creation, so you can apply one template and assign it to a group in one go. See How do I bulk assign actions?.

  • If you assign the same action repeatedly and there's no template for it, ask your administrator to add one.

  • If a template's URL is broken or the wording is out of date, flag it to your administrator so they can update the master template.
