What Action Messages Are For

Every action has a built-in message thread. It's a private conversation between you (as the creator) and the assignee, attached directly to the action record. Use it to:

  • Check in on progress before the due date

  • Share extra resources or guidance

  • Report progress or completion

  • Ask a question or request a deadline extension

The whole thread stays on the action, so you've got a record of the conversation alongside the action itself.

Opening the Messages on an Action

Step 1 — Go to Actions & 1-to-1s > click 1-to-1 records & actions.

Step 2 — Click the Actions tab and open the action you want to message about.

Step 3 — Scroll to the Messages section on the action detail page.

You can also open an action from a notification (in-app or email) — the link takes you straight to the action with the message thread visible.

Sending a Message

Step 1 — In the Messages section, type your message in the composition box.

Step 2 — Click Send.

The other party gets an email notification and an in-app alert. Your message appears in the thread with your name and a timestamp.

Reading the Thread

The thread shows every message in chronological order with:

  • The author's name

  • The date and time the message was sent

  • The message content

  • A read indicator showing whether the recipient has viewed your message

Unread messages are highlighted so you can spot them quickly.

When to Use Messages vs. Other Channels

Action messages are tied to a specific action, so they're best for anything action-related — progress updates, clarifications, deadline changes, completion confirmation.

For broader coaching conversations, use a 1-to-1 meeting. For anything that needs to involve a third person, use email or your team's normal channel — action messages are private to creator and assignee only.

Tips

  • Reply within a day or two. Leaving messages hanging slows the action down.

  • Be specific. "I've completed it — here's what I did" beats "done".

  • If the assignee asks for an extension, update the due date on the action so it reflects the new deadline.

  • Messages don't change the action's status. You still need to close the action manually when it's complete.
