How do I schedule Spotlight reports?
Required Feature Flags
The following feature flags and permissions are required to use this feature:

Scheduled Spotlight reports send you a recurring AI analysis of your conversations by email. Set the frequency once and the report runs on its own — no need to log in each week to rerun it.
Step 1: Filter the conversations you want to track
Go to Conversations > Imported contacts.
Pick a connector and apply the filters that match the conversations you want analysed each cycle. The schedule reuses these filters every time it runs, so make them count.
Step 2: Open the schedule modal
In the filter panel, click Schedule Spotlight.
This opens the Schedule Spotlight Report modal.
Step 3: Set the frequency
Choose how often the report runs:
Weekly — Sends every Monday, covering the previous week's conversations
Monthly — Sends on the 1st of each month, covering the previous month
Send once — Generates and sends a one-off report immediately, no schedule created
Step 4: Add recipients
In the Send to field, type an email address and press Enter. Repeat for each recipient.
Your own email is added by default. You can add more.
Step 5: Customise the email (optional)
Email subject — Defaults to "Spotlight Analysis Report". Change it if you want something more specific.
Description — A short note that appears in the email body to give recipients context for the analysis.
Step 6: Save the schedule
Click Create Schedule.
The subscription is now active. The first report arrives on the next scheduled run.
For one-off sends, click Send Now instead. The report generates straight away.
Managing your schedules
Go to Conversations > Spotlight and open the Schedules tab to see all active schedules. The table shows Frequency, Recipients, Subject, Integration, and Created by.
Edit a schedule
Find the schedule in your list
Click the pencil icon to open the Edit Schedule modal
Update the recipients, subject, or description
Click Save
Delete a schedule
Find the schedule in your list
Click the bin icon
Confirm in the Delete Schedule dialog
Deleted schedules stop sending immediately. You can't recover them.
What's in the email
Each scheduled email contains the full Spotlight analysis:
The total number of conversations analysed
Themes grouped under Critical Issues, Monitor Closely, and Performing Well
For each theme: title, description, percentage of conversations affected, and example excerpts with conversation references
The layout matches the in-app view, so it'll feel familiar whether you read it online or in your inbox.
Troubleshooting
Not receiving reports
Check your spam folder
Confirm the recipient addresses are correct
Check the schedule is still active in your list
Confirm the integration has conversations with AI summaries enabled
Report shows no results
This usually means no conversations matched the schedule's filters during the period. Check that:
AI summaries are enabled for the integration
Conversations are being imported
Your filters still match available conversations
Can't add a recipient
If your organisation restricts email domains, recipients outside those domains are blocked. Talk to your administrator if you need a different domain added.
