How do I set up report subscriptions?

Introduction

A report subscription emails a copy of the KPI Report to a list of recipients on a schedule. Set it up once and stop having to remember to run the report each week or month.

This guide walks through creating a subscription, choosing a frequency, picking recipients, and managing what you've already set up.

Before You Start

You need:

Step 1: Open the KPI Report

Go to Reporting > KPI Report.

Step 2: Open the Subscriptions Area

Open Saved filters in the filter bar, then open the subscriptions panel from there. If you don't have any filters yet, save one first.

Step 3: Pick a Filter

In the Selected filter dropdown, pick the saved filter you want the subscription to run from.

Step 4: Choose a Frequency

Pick how often the report should arrive:

  • Daily — yesterday's results, emailed every day

  • Weekly — last week's results, emailed every Monday

  • Monthly — last month's results, emailed on the first of every month

  • Quarterly — last quarter's results, emailed on the first day of January, April, July, and October

Match the frequency to how the report will actually be used. Daily for standups, weekly for team reviews, monthly or quarterly for execs.

Step 5: Add Recipients

In the Send to field, enter each recipient's email address and press return. You can add internal users and external email addresses. Your own address is added by default — leave it in if you want to verify delivery.

Tips:

  • Use a distribution list email for team-wide reports — easier to update than a long list of individuals

  • Remove your own email if you don't want a copy

Step 6: Customise the Email (Optional)

  • Email subject — set a clear subject so recipients can spot it in their inbox

  • Add a message — add a short message that goes in the body of the email

If you leave these empty, evaluagent uses sensible defaults that mention the report and frequency.

Step 7: Subscribe

Click Subscribe to report. The subscription starts on its next scheduled run, using the timezone of the user who created it.

Managing Existing Subscriptions

The subscriptions modal has two tabs: Subscribe (the form you filled in) and Manage Subscriptions.

View Your Subscriptions

Open the Manage Subscriptions tab to see what you've set up — recipients, frequency, and the linked filter for each.

Change a Subscription

You can't edit an existing subscription in place. To change recipients, frequency, or the linked filter, delete the existing subscription and create a new one.

Delete a Subscription

  • Open the Manage Subscriptions tab

  • Click the bin icon next to the subscription

  • Confirm

The next scheduled email won't go out.

Tips

  • Don't over-subscribe — too many emails and people stop reading them

  • Keep recipient lists short and current. Remove people when they leave or change roles

  • Name your saved filters clearly so it's easy to spot which one a subscription is using

  • Review your subscriptions every few months and delete the ones you no longer need

Troubleshooting

The Report Isn't Arriving

Check spam and junk folders first. Then confirm the subscription is still active, the recipient address is correct, and the linked filter still works.

The Data in the Email Looks Wrong

Open the linked saved filter and check the date range, scorecards, and team selections. A subscription is only as good as the filter it uses.

Multiple People Are Getting the Email but Shouldn't Be

Subscriptions can't be edited. Delete the existing subscription, then create a new one with the correct recipient list. Also check whether they're getting the same report from a duplicate subscription.

I Can't Create a Subscription

Confirm you have access to the KPI Report and that you have at least one saved filter. Contact your administrator if you need access.
