How do I de-activate/re-activate a user?

The following permissions are required to use this feature:

Required Permissions:

  • Manage Users (admin.org.users.manage) β€” to deactivate and reactivate user accounts

Go to User Management > Add & Edit Users.

Deactivating a User

From here, you can deactivate a user by clicking Active under the Account Status column on the row of the user you want to deactivate.

This action turns the user's account status to inactive with the following consequences:

  • The user is removed from the table above. You can reveal or hide inactive users by clicking the Inactive Users tab.

  • Inactive agents can no longer be evaluated; however, their performance data remains in the system and can still be accessed via reports.

  • Inactive users who have been granted system access will no longer be able to log in.

  • All roles are removed from the user.

  • All group assignments are removed.

  • Reporting level allocations are deleted.

  • The user no longer counts against licence limits.

Important: evaluagent does not provide a "delete" function that removes user records entirely. Users can only be deactivated to preserve data integrity and historical records.

Reactivating an Inactive User

Click the Inactive Users tab to reveal all inactive users, then click the Inactive status box on the row of the user you'd like to reactivate.

This action returns the user's account status to active with the following consequences:

  • The user reappears in the table above with an Active status box.

  • Reactivated agents return to their original team and can be evaluated once again.

  • Reactivated users who were originally granted system access can now log in to the system.

Important: When reactivating a user, you must:

  • Reassign all roles.

  • Reassign their team (if they have the Agent role).

  • Reassign hierarchy reporting access (if applicable).

  • Reactivation is subject to licence limit validation.
