How to bulk activate pending users

Pending User Concepts
Before diving into the process of activating pending users, it's useful to clarify what pending users are, how they're linked to the evaluagent platform, and what activation means.
What Is a Pending User?
Pending users are users who have been connected to the evaluagent platform via a third-party system using technologies such as System for Cross-Domain Identity Management (SCIM).
Pending users do not consume an evaluagent user licence and have no roles, permissions, or login access assigned. They cannot log into and use the evaluagent platform until they have been activated.
Pending User Validation
When a pending user is connected to the evaluagent platform, they require two critical data fields:
The name of the user (does not need to be unique).
The username by which the user will be identified — usually an email address. This must be unique within your account, across both pending and active users.
You can also provide a third-party system ID. This is optional but helpful for tying your evaluagent user back to your third-party systems.
What Does the Activation Process Do?
Activation moves pending users from a pending state into an active state. Activated users will be:
Assigned a role or roles.
Assigned a team or reporting level.
Given permissions to log into the evaluagent platform.
All activated users consume a user licence.
Activating Pending Users
Selecting Users
To select the users you want to activate, tick the box next to each user's name in the list. You can select any number of users individually, or select all users in the list by ticking the box next to Name in the table header.
What Users Can You Select?
You must select users for activation who will have the same role and team — for example, all agents who will be added to the "Blue" team. You cannot mix roles or teams within the same activation batch.
Licence Validation
Once you've selected your users, the number of selected users is displayed in the highlighted bar above the table. A message also displays whether activating this number of users is within your account's licence limits.
If your activation selection exceeds your licence limit, you won't be able to proceed until you've reduced the selection.
Click Activate when you're ready to proceed.
Configuring Users for Activation
When you click Activate, a slide-out appears letting you configure your selected batch of users.
Step 1: Allocating Roles
Select one or more roles for your selected users from the drop-down menu. This is a mandatory field — no user can be activated without a role.
The roles you select will be applied to all selected users and reflect all the default and custom roles in the platform.
Step 2: Assigning Teams / Reporting Levels
Once you've selected the role(s), assign the users to a team or set their reporting access. This is mandatory — no user can be activated without either a team or reporting access.
This choice depends on the type of role(s) you've selected:
Selecting only the Agent (or equivalent) role — choose which team these agents will be assigned to.
Selecting any non-agent roles (e.g. Team Leader) — choose what level of reporting access they will have.
Step 3: Employee Start Date
Set an employee start date for all selected users. This is optional but can be used in evaluagent to create SmartGroups (custom reporting groups based on conditions) — for example, to report on new starters whose employee start date is within the last X days, weeks, or months.
The choices are:
Leave the default entry — always the current date.
Clear the field and leave it blank.
Click into the field and select your own preferred employee start date.
All selected users are tagged with the same employee start date. This can be edited once the users have been activated.
Step 4: Login Activated
By default, all selected users will be able to log in once activated. You can choose to activate users with this setting set to No, which will activate the user but not allow them to log in until the setting is changed.
Once you've completed configuration, click Review to continue.
Reviewing Your Activation
A summary of your user activation is shown.
Click Activate to complete the activation, or Back to return to the configuration options and make changes.
Activate
Once activation has been triggered, the workflow runs another validation check to ensure the selected users can be activated. If any issues are identified, a warning indicator is displayed.
Successfully activated users are removed from the Pending Users tab and are now available under the Active Users tab.
