Overview
All types of feedback (General and Quality) can now be ‘Marked as Reviewed.’ This status indicates that a Manager/Team Leader has seen the feedback for members of their team or business unit and has appropriately reviewed and completed the required actions to ensure that the feedback helps to improve and develop the subject of that feedback (an individual or a team).
The processes described below work equally for quality feedback or general feedback.
Marking feedback as reviewed, tags the feedback as ‘Reviewed’ which can then be used to report the status of reviewed and non-reviewed feedback.
How to mark feedback as reviewed
Both general and quality feedback can be marked as reviewed. Simply navigate to either review quality feedback or review general feedback sections to begin.
- Click on the magnifying glass next to the team/user of choice
- Below the reporting period summary, you will see a table listing all feedback for the reporting period you have selected. If no feedback is shown, widen the reporting period.
Here you will see:
- Feedback that has not been marked as reviewed by anyone
- Feedback that has been marked as reviewed by someone else
- Feedback that you have previously marked as reviewed
Note: Once you have marked feedback as reviewed you cannot currently amend this, a future update will be provided to enable you to unmark and feedback.
Selecting a single feedback
To select a single feedback, click in the check box on the left of your selected feedback
At the top of the table the mark as reviewed option will be shown
Click the Mark as reviewed link to apply the change.
Selecting multiple feedback instances
To select multiple feedbacks simply click each check box next to your chosen feedbacks and then click the mark as reviewed link (as above).
Identifying who has reviewed feedback
Against each feedback you will see the profile picture (or initials) of any user who has already reviewed this feedback. Feedback can be marked as reviewed by multiple users, and the display will change accordingly. The different status’ for each feedback are summarised below:
A. Feedback not yet reviewed by anyone
- Check box is active – as you have not reviewed this feedback
- No profile pictures are shown – as no one else has reviewed this feedback either
B. Feedback has been reviewed by other reviewers (not you)
- Check box is active – as you have not reviewed this feedback
- 1 or more profile pictures are shown – as 1 or more person has reviewed this feedback. If there are more than 3 reviewers they will be shown stacked
C. Feedback has been reviewed by you alone or with other reviewers
- Check box is not active – as you have already reviewed this feedback
- Your profile picture will be shown, alongside any other reviewers
How to filter using the marked as reviewed option
You can filter your list of feedbacks in two ways:
Show options and select either Reviewed or Not reviewed to filter your list of feedback
OR
Click on the ‘Reviewed’ bar. Clicking for a second time on the bar will restore the default view.
Reporting on Marked as Reviewed:
On both the quality and general ‘review’ feedback pages you have the option to download your feedback to a CSV file.
Within this download file, a column called ‘Review Count’ has been added, that shows the number of reviews against each of the feedbacks, where 0 represents no reviews
Available in the next few months, will be the ability to create your own SmartView dashboard widgets based on the metric, ‘Marked as reviewed’ for both general and quality feedback.
