How Do I Manage Lesson Triggers

How do I manage lesson triggers?

Required Feature Flags

The following feature flags and permissions are required to use this feature:

Feature Flag

Description

E-Learning

Enables the eLearning module, including lesson trigger logs

Required Permissions:

  • Manage Lessons β€” to view and manage lesson triggers and trigger logs

Once you've connected lessons to scorecard line items, evaluagent records every auto-assignment in the trigger logs. Use these logs to confirm the right lessons reached the right people, or to troubleshoot when an expected assignment didn't happen.

Step 1: Open the trigger logs

Go to E-Learning > Track to view all auto-assignment activity.

Each row represents one trigger event β€” an agent who hit the failure threshold on a line item that was connected to a lesson.

Step 2: Read the log entry

Each entry tells you:

Field

Description

Agent

The user the lesson was assigned to

Lesson

The lesson that was triggered

Status

The current state of the assignment

Trigger date

When the failure threshold was breached

Deadline

When the lesson should be completed by

Completion date

When the agent finished, if they have

Score

The result of the lesson, if scored

What the statuses mean

Status

Meaning

Pending

Lesson assigned, learner hasn't completed it yet

Complete

Learner passed the lesson

Failed

Learner did not meet the pass mark

Previous incomplete

Trigger fired but the learner already had this lesson outstanding, so it wasn't re-assigned

No retry period

Trigger fired but the learner is still inside the cooldown window from a previous completion

The last two statuses are useful for troubleshooting β€” they show you the trigger fired but evaluagent deliberately didn't re-assign the lesson.

Step 3: Troubleshoot a missing assignment

If you expected an agent to receive a lesson and they didn't, work through this checklist:

  • Confirm the connection is in place. Go to Settings > E-Learning Settings > Connect lessons and check the lesson is connected to the line item that failed.

  • Check the lesson is active. Only active lessons can be triggered. Archived or inactive lessons won't auto-assign.

  • Check auto-assignment is enabled. In Settings > E-Learning Settings, confirm the auto-assign lessons setting is on.

  • Check the threshold. The agent needs to fail the line item the configured number of times in a row. A passed evaluation in between resets the counter.

  • Look for a "Previous incomplete" or "No retry period" log entry. This tells you the trigger fired but the lesson was deliberately not re-assigned.

  • Check the agent's outstanding lessons. If they already have the lesson assigned, evaluagent won't duplicate it.

If none of those explain it, contact your evaluagent administrator.

Step 4: Remove an auto-assigned lesson

If a lesson was assigned in error, or you want to release the agent from it:

  • Find the assignment in E-Learning > Track

  • Delete the assignment

  • The agent is notified the lesson has been removed

  • The lesson is unassigned from their account

If the lesson is part of a learning path, deleting it will also remove the other incomplete lessons in that path for the agent. Read the confirmation message before you delete.
