How do I check user availability before scheduling?

How Availability Works

When your organisation has a WFM calendar integration in place (for example, Assembled or Injixo/Peopleware), evaluagent pulls participant schedules into the scheduling flow. You can see when someone is available, busy, on break or off duty before you pick a slot.

If no WFM integration is set up, you can still schedule sessions — you'll just need to check availability outside evaluagent.

Checking Availability When Scheduling a Session

Step 1 — Start creating a 1-to-1 (see How do I trigger a 1-to-1 meeting?) and choose Schedule for later.

Step 2 — Select the participant.

Step 3 — When you pick a date and time, the participant's schedule appears alongside the time picker. You'll see:

  • Available — no scheduled conflict

  • Busy — meetings or other commitments

  • Break — scheduled breaks or lunch

  • Off duty — outside their working hours

Step 4 — Pick a slot that's clear for both of you. The system warns you if you choose a time that conflicts with the participant's schedule. You can still schedule over a conflict if you need to.

Step 5 — Save the session. evaluagent creates calendar events for the facilitator and the participant in the connected WFM system.

Rescheduling and Availability

When you reschedule an existing session, the same availability view appears for the new date and time. evaluagent updates the WFM calendar events so both parties see the new slot.

Working Across Time Zones

If you're scheduling with someone in a different time zone:

  • Set the time zone on the session before you pick a slot

  • The availability view shows the participant's local time

  • Both calendars update to each user's local time zone

Try to avoid scheduling outside someone's normal working hours.

When Availability Doesn't Show

If you don't see availability information:

  • Your organisation may not have a WFM calendar integration

  • The participant may not have a schedule published in the WFM system

  • The integration may need reconnecting — ask your administrator

You can still schedule the session manually. Just confirm the time with the participant directly.
